Residence Life & Student Housing fosters the foundational SMU experience where every student belongs, learns, and connects through their residential community.

About the Position:

This role is an on-campus, in-person position.

The Administrative Assistant provides direct support for the Dean of Residence Life & Student Housing as well as provides departmental and division support to members of the reporting unit. This position coordinates all office management functions for RLSH.

Essential Functions:

  • Provides direct administrative support to the Dean and general departmental support to members of the reporting unit and division, including the preparation for and follow-up of meetings with campus partners. Answers phone lines, greet and assists visitors, students, and parents. Coordinates travel following university guidelines as needed.
  • Assists with arranging schedules including but not limited to supervisor meetings, staff and team meetings, as well as meetings with students. Make meeting arrangements; assist with the development and coordination of departmental special events; assist with setup and cleanup for various meetings and events; contact vendors for food orders, materials, supplies and audio-visual equipment.
  • Manages the general needs of the RLSH Central Office, including greeting visitors, answering phones, composing routine correspondence and making appointments. Orders and maintains inventory of office supplies and equipment. Opens and distributes incoming mail. Classifies, sorts, and files correspondence, records, and other documents. Orders name badges, business cards, and other supplies for staff.
  • Provides administrative support for special committees and special projects. Serves on committees and task forces. Provides support for move-in, move-out and summer operations. Plans, coordinates, and organizes office activities and coordinates with other student affairs or academic administrative staff as needed.
  • Serves as fiscal assistant to the dean in preparing and monitoring the office budgets and processing business transactions. Follows the invoice process to ensure timely bill payments. Processes purchase requisitions. Oversees the fraternity rent collection and damage billing process. Assists in reconciling Q drive reports, credit card statements and processes non-payroll expenditures. Serves as Concur delegate. Serves as liaison to Accounts Payable and Purchasing.
  • Serves as the RLSH contract lead for SMU's Contract Process. Serves as an information source for the contract process to RLSH staff. Ensures the contract process is followed and that review, approval, and signature routing occurs in a timely manner.


Qualifications

Education and Experience:

A High School diploma or equivalent is required. A Bachelor's degree is preferred.

Two years work experience as an administrative assistant is required. Previous work experience in student housing or student affairs is preferred.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.

Candidate must demonstrate proficiency in Microsoft Office.
