Position Title: Administrative Assistant 2 - Lifelong Learning (Temporary, Part-Time, up to 19.5 - 20 hours a week)

Department: District Office - Workforce Development & Lifelong Learning Department

Rate of Pay: $18.08/hour

Closed Date: September 18, 2024; 5:00 PM Arizona Time

Position Summary:

The Administrative Assistant 2 performs a variety of support duties for multiple programs performing a full range of advanced clerical and office support duties. Provides information and assistance to the college and the public, generates reports and monitors invoices. Updates and manages department files and records.

This position supports the Lifelong Learning Department with daily tasks related to Workforce Development programs. Responsibilities include providing excellent customer service to students and external partners via phone and email, processing tuition vouchers, monitoring student accounts, generating and reconciling invoices, and maintaining accurate billing records. This role requires strong organizational skills, attention to detail, and the ability to work independently in a fast-paced environment.

Duties and Responsibilities:

  • Provides advanced office support to administrative staff by answering, screening, and directing phone calls; responds promptly and professionally to student, employer, and third-party partner inquiries via phone and email
  • Serves as first point-of contact for inquiries, complaints, and concerns. Interacts with students, faculty, staff, and the general public to answer questions concerning processes and procedures or confidential issues or concerns
  • Accurately processes and tracks tuition vouchers; corresponds with students and partners regarding account balances, payment deadlines, and related financial matters
  • Prepares and sends required electronic documents to students for signature, updates confidential files and records for students
  • Generates invoices for tuition and other related fees to employers and third-party partners; manages billing statements to ensure accuracy and resolves discrepancies with employers and third-party payers
  • Maintains accurate records of student information and communications, billing activities, and payments. Generates reports as needed
  • Monitors student accounts and collaborates closely with internal PCC departments to ensure smooth processing of financial transactions and adherence to policies
  • Performs all other duties and responsibilities as assigned or directed
Job Requirements:
  • High school diploma or GED
  • One (1) to three (3) years of experience in administrative support, billing, or financial services
  • One (1) to three (3) years of related experience providing technology-related general office support
Or
  • An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above
Preferred:
  • Associates Degree/Vocational or technical training in office management preferred.
  • Experience using Enterprise Resource Planning Systems designed for education, e.g. Ellucian/Banner
  • Experience using G-Suite applications (Gmail, Sheets, Docs, etc.)

  • Skill in performing a variety of duties, often changing from one task to another of a different nature
  • Ability to apply effective and accurate data entry and typing skills
  • Knowledge and application of organizational and time management principles
  • Knowledge of administrative procedures and practices
  • Ability to learn quickly and work independently
  • Skill in positive, productive and flexible customer service
