Alumni Relations & Development (ARD) engages alumni (~190k), current students, parents and friends of the University through intellectual, professional and social activities on campus, around the world and online. ARD raises $550 Million annually to support faculty and researchers, practitioners and patients, and students and programs across the University. Our work supports priorities in every division, school, department, and institute.

As part of the larger Talent Management team, Human Resources (HR) supports the employee lifecycle from onboarding to offboarding and provides every aspect of human resources support to all staff members and the broader communities. This position has a hybrid work schedule which includes weekly in office presence located in Hyde Park at 5235 South Harper Court.

Job Summary

The job works independently to design, implement and monitor a variety of human resource programs. Anticipates and plans for long-term human resource needs and trends in partnership with business management.

Responsibilities

  • Primary lead for all on- and offboarding processes for staff including managing and monitoring the administrative coordination and documentation for internal and external transitions.
  • Provide coaching and leadership guidance to hiring managers during the recruitment process. Assess and evaluate valid candidacy by ensuring applicants meet role requirements.
  • Primary contact for Employee and Labor Relations matters, and partner with Central HR ELR Department with matters that require escalation until resolved.
  • Primary contact for FMLA, leaves of absences, accommodation requests, etc. Lead and facilitate conversations with managers and employees regarding leave requests, accommodation, etc.
  • Partner with the appropriate University offices to coordinate resolutions to employee and labor relations issues, grievances, complaints, and legal issues.
  • Draft and use legal and formal documents such as offer letters, termination documents, work arrangement agreements, performance improvement plans, etc. and partner with managers on documents that require performance specific detail.
  • Facilitate exit interviews. Use exit interview data to make informed decisions. Create and maintain a reporting of aggregated data in areas of organizational health, culture, programming, trends, etc. and capture relevant data points to help assess and guide choices in the department holistically.
  • Partner with leadership in developing plans for addressing long-term human resource needs, and significantly contribute to the review and determination of best practices in facilitating goals and activities that strategically support ARD broadly.
  • Advise staff and maintain knowledge of legal requirements and government reporting regulations affecting human resources functions and ensure policies, procedures and reporting are compliant.
  • Function as primary contact for Workday usage including Recruiting, Time and Absence, Performance Management and other processes as needed. Resolve issues related to accruals, time approver assignments, organizational structures, employee information & documents, etc. via Workday. Work closely with Central HR and Financial Operations to resolve payroll issues related to Workday Time and Absence. Train and support managers and staff in using Workday.
  • Partner, guide, and support leadership and managers during compensation discussions and annual merit planning.
  • Lead and facilitate HR training and meetings.
  • Oversee the temporary staff and student hiring process including posting jobs, on- and offboarding. Serve as liaison between Talent Management, leaders, managers and staff, and the University community.
  • Ensure accuracy and confidentiality of data and records and perform duties in accordance with federal and state laws, University Human Resource Services (HRS) policies and ARD procedures.
  • Use Workday, Excel, PowerPoint, and other tools to manipulate and synthesize data and other material to create and design regular and non-routine reports and charts.
  • Prepare and provide unit with campus HR and operational updates, communications, and other resources.
  • Seek opportunities for professional development that will enhance job performance including attending webinars, seminars, building networks within the University and with colleagues at peer institutions.
  • Guide staff hiring processes, including developing job descriptions, interviewing and reference checking, handling employment offers, and conducting orientation. Develops templates and drafts routine offer letters. Maintains appropriate human resources data and records, solving a range of straightforward problems using best practices.
  • Counsel employees on benefits and compensation. Coordinates with managers and senior colleagues to determine employee compensation. Analyzes data and prepares charts, graphs, and trend lines for management review with a minimal level of guidance.
  • Perform other related work as needed.

Minimum requirements include a college or university degree in related field.
