Associate Sales Coordinator

Opportunity

BASIC FUNCTION
Under thegeneral supervision of the Manager-Sales Administration, KPS Americas, act asthe liaison between the distributor and the factory, providing a high level ofcustomer service. Communicate directlywith distributors and OEMs to provide timely order status. Apply the department's policies andprocedures.

SPECIFIC RESPONSIBILITIES
Quickly andaccurately process incoming orders. Order processing includes tasks such as checking the bill of materialfor factory changes, holding quote pricing and discounts, setting lead timesfor delivery, and setting up the order to reflect the customers shipping andbilling preferences.

Createdeliveries and shipments when system does not generate or requiresconsolidation. Create air shipments.

Maintain theorders pending processing list, production note updates, customer inquiry logs,shipping status reports, complaint tracking reports and any other assignedreports.

Resolve invoiceissues such as credit requests and customer deductions promptly.

Learn to lookup and use sales order, schedule, production, shipping, and invoice informationin Kohler Power Systems Enterprise System (SAP).

Follow up atleast weekly on all assigned distributors' open orders and provide distributorswith timely updates about order status changes.

Understand anduse customer service reference documents including ISO procedures, productdimension sheets, product specification sheets, price lists, inventory reports,and lead-time reports.

Administerpolicies that govern pricing, order entry, order change, order status inquiry,and any other policy that relates to the Sales Administration Department.

Learn theresponsibilities of coworkers in order to back them up in their absences.

Prepare andsubmit field complaints as required to document field problems.

Create custominvoices for national accounts and comply with other special handlingrequirements which may include working in vendor portals.

Perform otherrelated duties as assigned.

Frequentcontact with commercial carriers and freight forwarders

Skills/Requirements

College degreeor associate degree preferred, but candidates with equivalent experience wouldalso be considered.

A background inmake-to-order manufacturing or distribution would be considered highlybeneficial.

MicrosoftOffice (Outlook, Word, Excel, and Access) skills preferred.

Above averagecommunication skills preferred.

Ability toprioritize and handle multiple pressing priorities required.
