The Business Administrator I position for the Climate Hub is a soft-funded position.


Global climate change is a complex and multidimensional problem and presents one of the most pressing challenges of our time. There is an urgent need for the University of Delaware to engage holistically and strategically. The UD Climate Change Hub is a newly established university-wide initiative to elevate UD's stature through promoting collaboration, enhancing funding, and improving climate change education, research, and outreach at UD. The Hub unites researchers, artists, entrepreneurs, and educators from across UD whose work addresses any aspect of climate change: its causes, impacts, mitigation, or adaptation. The Hub promotes cross-disciplinary collaboration and provides a one-stop shop for Delaware communities and policymakers seeking UD's expertise in science-informed policy development, diffusion, and implementation. The Hub will further involve partnerships with industry and other institutions in the region. The interdisciplinary nature of the Hub will position UD as a national leader in climate change work.

Under the general direction of the Climate Hub Director and with a dotted line report to the College Business Officer, the Business Administrator is the primary contact for the Climate Hub and for the Director. This individual is responsible for overseeing the day-to-day activities and all administrative needs of the office and will interact with all levels within the University. The Business Administrator I is the primary contact for the business and financial activities of the Climate Hub. The incumbent assists the Director in monitoring and managing the annual operating budget, including all financial obligations and expenses, and serves as liaison with the College Business Office regarding business support for research and academic activities, with responsibility for ensuring compliance with all College and University policies as well as prioritizing and resolving administrative issues; and is responsible for general administration and office management. The Business Administrator oversees and coordinates the educational activities as well as the activities for the Hub. A high level of independent judgment, initiative and problem-solving skills are required.

As the primary initial contact of the Climate Change Hub, this individual is expected to ensure positive working relationships and maintain frequent communication with other departments in the College, the College Business Office, and with the HR Director, Dean's Office, other University and other college offices, and external partners.


  • Manage daily operations of the Climate Hub, including preparing and administering Climate Hub accounts and budgetary matters related to personnel appointments and salary increases; monitor obligations and expenditures, perform analyses, provide projections and process requisitions.
  • Prepare monthly reports, analysis, and budget projections about revenue and estimated expenses; and prepare budgets and financial reports for CH accounts including general appropriations, endowments, and other funds; communicate these to the Director and making recommendations regarding potential modifications.
  • Advise the Director on University and College administrative procedures and assist in ensuring compliance with University and College policies including informing the Director and/or principal investigators of pending closeouts, deadlines, problems, or other issues related to current accounts.
  • Participate in the preparation, planning, and administration of the annual operating budget, as well as participate in overall financial planning and management.
  • Work with the College Business Office regarding financial monitoring.
  • Work with the HR Director on HR matters including web forms and recruitment forms.
  • Monitor, approve, and report of pro-card expenditures in Concur; process requisitions and other financial transactions, including S-contracts, bi-weekly pay in UD Workforce, reimbursements, and monitor expenditures on all departmental accounts. Review and approve Procard and Hub allocations and expenditures and ensure compliance in areas of unallowable charges for non-grant allocations and advises faculty, staff, students and postdoctoral associates accordingly.
  • Catalogue vendor orders, requisitions, and purchase orders utilizing UD Exchange for procurement needs.
  • Oversee Hub-related agenda and organize events and workshops, both at UD and externally.
  • Coordinate Hub related initiatives, including coordination of interns, ad hoc committees, and working groups.
  • Assist with coordination of climate scholars programming.
  • Organize, facilitate, note-taking and post-meeting follow-up for all meetings between partners and any session between faculty, staff, teams, and current or prospective partners.
  • Provide agendas for and documentation of meetings.
  • Coordinate with UD's Environmental Public Education Office and UD's Office of Communications and Marketing to produce marketing materials, fact sheets, news releases, position statements, key messages, partnership surveys, web and social media content, and other information products as required to support the program.
  • Perform other job-related duties as assigned.


  • Bachelor's degree and four years of experience or an equivalent combination of education and experience. Degree in business, accounting, or related field preferred.
  • Skill in budget preparation and management.
  • Ability to analyze budgetary expenditures for compliance with approved budgets.
  • Excellent organizational skills, with knowledge and understanding of the practices of effective financial management.
  • Ability to use advanced spreadsheet techniques to run financial calculations and reports.
  • Ability to edit content, structure, and format of a range of written material.
  • Program planning and implementation skills.
  • Ability to work independently and to evaluate the work of others.
  • Effective communications and human relations skills; ability to interact well with people of all ages and diverse backgrounds; ability to maintain confidentiality in all interactions.
  • Supervisory experience.
  • Ability to represent the agenda of the Climate Change Hub and College/University agenda in all interactions.
  • Ability to maintain confidentiality and work respectively in all interactions.
  • Experience in higher education is preferred.
  • Familiarity with University financial and travel policies and procedures, UDataGlance, and Peoplesoft a plus.
  • Skill in directing and enforcing policies and procedures.
  • Demonstrates an understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures and backgrounds.
