General Description of Position: Acts in a confidential capacity to provide administrative services such as records control, creating special reports and studies, keeping and facilitating records and maintaining schedules incidental to the overall efficient sales operation.

Duties & Responsibilities:

  • Manages the day-to-day operations of the department
  • Fields phone calls, answers questions and directs calls to appropriate colleagues
  • Responds to and corrects order rejects that come back to sales
  • Reviews sales orders prior to order submission to ensure for accuracy
  • Organizes and maintains files and records
  • Coordinates collection and preparation of various materials as requested
  • Plans and schedules meetings and appointments
  • Makes travel, meeting and event arrangements
  • Maintain filing system for Company documents and ensure their confidentiality
  • Manages projects and conducts research
  • Prepares and edits correspondence, reports, and presentations
  • Responsible for filing and data entry
  • Places orders for supplies and services
  • Coordinates meals, when needed
  • Provides quality customer service
  • Performs other duties as assigned


Requirements

Minimum Qualifications:

  • High school diploma or equivalent
  • 2+ years of experience in administrative support role
  • Strong computer and Internet research skills
  • Proficiency in Microsoft Excel, Word and Power Point
  • Knowledge of SalesForce an extra
  • Flexibility
  • Excellent interpersonal skills
  • Project coordination experience
  • Ability to work well with all levels of internal management and staff, outside clients and vendors
  • Sensitivity to confidential matters may be required

*This position is based in either Marion, IL or Harrisburg, IL.  Training and the first few month will be in-house and then there is the possibility for this to become a remote position.
