Posted Job TitleFinancial Administrative Coordinator, Department of NeurosurgeryJob Profile TitleFinancial Administrative CoordinatorJob Description SummaryThe Financial Administrative Coordinator in the Perelman School of Medicine, Department of Neurosurgery provides financial and administrative support in concert with the Neurosurgery Business Office to ensure efficient and timely daily operations. This position reports to the Administrative and Financial Officer with a dotted line to the Office of Research Support Services and will coordinate, monitor and process all transactions related to the office's financial activities including weekly/monthly payroll (Workday), purchasing, payables, reimbursements, purchasing card, and journal entries. The Financial Administrative Coordinator will also set up and maintain account and transaction files, provide front-end support for the office and will also complete other business administrative tasks as assigned.Job Description


  • Manage Payroll and Incentive Payments
  • Workday Support
    • HR Analyst/Recruiter/Timekeeper Workday Security Role access and related tasks
    • Manage and coordinate payroll distributions for faculty and staff in Workday
    • Liaise with Department Faculty Affairs Coordinator to process Faculty appointments
  • Grant Support
    • Support the Business Office and Faculty with research/grant portfolios for PI budget meetings
    • Process journal entries and reallocations for grant/gift/endowment/unrestricted accounts
    • Assist with reallocating Anticipated/Suspense accounts
    • Invoice VA/PREF/Clinical Trial Industry sponsors
    • Assist with the Effort Reporting process
    • Support Concur and Pro Card purchases/reconciliations
  • Other Duties as assigned


  • High School and 5 years; Assoc and 3 years; Bachelor's and one year; or equivalent combination of education and experience required
  • Familiarity with UPenn financial systems (BEN Financials, Business Objects, Concur) is preferred.
  • Proficiency in Microsoft Excel, Adobe applications and able to quickly learn new software applications is required.
  • Excellent interpersonal, analytical and written communication as well as time management skills are required.
  • Must demonstrate strong customer service skills with the ability to clearly communicate policies to faculty, staff and students.
  • Must demonstrate a proactive workstyle with strong follow-up skills. Ability to work under pressure and perform duties with strong attention to detail.
  • Proven ability to switch gears depending on processing and/or project deadlines and remain flexible in order to adapt to changing priorities. Must have the ability to work independently as well as function as part of a team.

The salary for this position is expected to be from $37,219 to $51,379 or $20.45 to $28.23 per hour.
