About the Department:

The Office of Research is responsible for assisting faculty and other researchers in the preparation and submission of research proposals and the administration of awarded grants.

About the Position:

Reporting to the Associate Director for Sponsored Projects, the Grant and Contract Management Specialist (GCMS) performs pre award and/or post award activities. The GCMS assists with research faculty/staff in the development, preparation, and submission of a grant proposal.

The position also works closely with the Principal investigator to develop internal and external proposal budgets, and ensures all applications meet sponsor guidelines and university policies. The GCMS serves as the conduit to the sponsoring agency through the life of the project.

Essential Functions:

  • Responsible for application submission, budget development, assist faculty/staff with proposal preparation and submission; assist in the final review, completion and submission of grants, contract and subcontract agreements, including budgets and justifications. Provide training to faculty/staff on proposal process. Assist in a variety of administrative/budgetary functions.
  • Oversee award set up, process No-Cost Extension requests, work with awarding agency, SMU Faculty/Staff, and other internal departments to administer awards.
  • Process budget change requests, facilitate contract agreements with private and federal sponsors; ensure compliance with internal and external regulations and policies. Provide training to faculty/staff on award process.
  • Outreach: Schedule face-to-face meetings with PIs. Attend departmental meetings as needed.
  • Participate in PI training workshops as indicated by Director.


Qualifications

Education and Experience:

Bachelor's degree is required.

A minimum of three years of professional work experience is required, preferably in general accounting, project budgeting and/or cost accounting. Experience in higher education is strongly preferred. Experience with a portfolio that includes supporting a college/department with proposals/awards desired.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong verbal and interpersonal communication skills with the ability to build relationships with a wide range of constituencies in a diverse community. Must also demonstrate the ability to communicate effectively in writing. A strong customer service orientation is essential.

Candidate must demonstrate strong time management, organizational, and planning skills and the ability manage multiple priorities in a deadline driven environment. Must be able to work independently and as part of a team, as well as collaborate effectively with colleagues. A strong focus on attention to detail and accuracy is essential.

Candidate must have strong problem solving and conflict resolution skills with the ability to identify, analyze problems and devise solutions.

Candidate must demonstrate a strong proficiency in MS Office (Excel, Word and Outlook). A strong working knowledge of MS Windows is essential. Knowledge of Federal and State laws, regulations, funding agency policies, and other requirements that affect grant program administration is highly desirable. A strong knowledge of Federal Acquisition Regulations (FAR) clauses and export controls is a plus.
