Job purpose

Lead medical assistant works within a care team who is involved in a wide range of tasks, which includes clinical and non-clinical activities.

·Lead medical assistant aids the clinicians in delivering clinical services and promoting health and wellness.

·Lead medical assistant ensures the care team has supplies and resources necessary, as well as manages the flow of patient services efficiently.

·Lead medical assistant must understand the work environment of the clinic to meet the needs of each patient and provide an outstanding patient experience.

Duties and responsibilities

The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all-inclusive.

Lead Medical Assistant Duties

  • Create and distribute a biweekly team schedule

  • Schedule and lead routine huddles for the team

  • Provide support and expertise to the MA team

  • In-clinic customer service and service recovery when needed

  • Ensure compliance with state, federal and organizational pharmacy and lab policies

  • May be called upon to serve as preceptor to ensure all training has been completed for new MA's. May provide feedback on MA performance upon request.

  • Assist in training clinical competencies for new and existing medical assistants

  • Ensure quality controls and logs are completed timely and accurately

  • Serve as the point of contact to answer vendor/client inquiries about supplies, invoices, etc.

  • Delegate MA checklists as required

    On-Going Medical Assistant Duties

    Non-Clinical Duties

  • The medical assistant is required to be adept at all aspects of an electronic medical record and data entry associated.

    - Record accurate and pertinent data in the medical record

    - Locate the correct medical record to prevent creating a duplicate record

    - Scans in appropriate documentation in patient record

    - Process medical record requests and abstraction

  • Front desk duties include but is not limited to:

    - Check in and check out

    - Receive and record copayments, if applicable

    - Patient scheduling

    - Answer phone calls

  • Process referrals and coordinates specialist visits, referrals, and other care outside of the clinic

  • Assist patients with scheduling appointments

  • Manage the patient flow by efficiently scheduling patient appointments according to appointment type

  • Instruct patients according to the documented plan of care or appropriate written educational materials identified by the clinician

  • Communicate test results to the patients in a timely manner, via e-message, mail or phone as directed in written instructions by the Provider.

  • Participate in outreach to patients to drive engagement among eligible patient groups

  • Orient the patients to the healthcare team members, services available, and the means of access to those services

  • Telephone and in-person screening limited to intake and gathering of information only without requiring the exercise of assessment or judgment based on clinical knowledge

  • Providing documentation on patient incentive plans, if applicable

  • Responsible to keeping appropriate clinic resources and equipment available at all times in the clinic.

  • Ensure all patient care areas are appropriately stocked.

  • Required to keep detailed records of all clinic inventory

    Clinical Duties:

  • Ensure exam rooms are thoroughly cleaned before each patient visit

  • Provide ongoing care within scope of practice as directed by the clinician assisting with examinations, minor procedures, and a variety of other clinically related tasks

  • Follow through and implements the plan of care as directed by the clinician

  • Provide a safe environment for each patient and adheres to safety standards

  • Make the medical visit a positive and supportive experience for each patient

  • Review previous medical information and gathers any relevant updated health information from the patient to inform the provider

  • Escort the patient to the exam room and prepare the patient for examination

  • Deliver care determined by the written plan of care from the Providers

  • Communicate patient concerns or significant changes in patient's health status to the Provider

  • Medical assistants will be expected to assist and perform procedures that may include, but not limited to:

    - Bandage wounds

    - Perform blood draws

    - Perform electrocardiograms (EKG)

    - Perform spirometries, if applicable

    - Collect urine/hair drug screens, if applicable

    - Perform Point-of-Care Testing (CLIA waived tests)

    - Prepare and administers approved medications and immunizations via oral, topical, inhaled, intramuscular, subcutaneous or intradermal at the direction of and upon written order from the Provider

    - Accurately and efficiently takes vital signs, reporting any abnormal findings to the Provider immediately

  • Medication dispensing from clinic stock under the direct supervision of a prescribing provider, if applicable

  • Perform MA checklists as required

    Provider Assistance:

  • Assist providers in all aspects of appropriate patient care.

  • Lead medical assistants will be expected to provide assistance by setting up procedures, preparing patient and provider for procedures, documentation as directed by provider.

  • Provide assistance to more than one provider at a given clinic

  • Partner with other members of the care team to develop individual patient plan of care including identifying and working to address gaps in care

  • Review the daily patient visit report with the clinician in preparation for the day

  • Recognize urgent/emergent situations and communicates findings to the provider

    Qualifications

    Education & Experience:

    ·Minimum of 2 years' experience, preferably in Primary Care. May vary based on clinic needs.

    ·Minimum graduation from a formal MA program or other related program.

    ·CPR/BLS certification or training

    ·National Medical Assistant certification, preferred

    Clinical Skills & Competency

    ·Able to successfully pass MA Clinical Competency Checklist evidenced by documented, proficient clinical skills as outlined above upon hire and annually thereafter.

    General Business Competencies:

    ·Meets and maintains the MA Assistant Core Competencies



    Working conditions

    Moderate but typical office noise (from computers/printers/phones), light traffic; potential exposure to blood or bodily fluids during clinical encounters

    Physical requirements

  • Physical requirements can vary. These must be reviewed with management. However, in general, the position requires the following physical activities:

  • Ability to lift minimum of 1 pounds to a maximum of 30 pounds unassisted; able to perform repetitive standing, sitting, stooping, walking, stretching, reaching, lifting, and use full range of body motions.

  • Ability to use computer and all peripherals for extended periods of time (hand/finger dexterity) to meet performance goals and submit deliverables within deadlines.

  • Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports.

    Expected Hours

    Mostly weekdays, with some hours beyond normal business hours, flexibility required. This position requires a minimum of 40 hours per week and occasional overtime is possible.
