Job Description Summary
The Managing Editor, Journals, Editing and Production Coordinator, is a project management position. The role oversees the production for 16 journals/52 issues per year. This involves shepherding journal issues from initial document stage through final printing & online distribution. The essential functions of this position include but are not limited to: project management and liaison with all outside contacts (e.g. journal editors, copy editors, typesetters); setting production schedules and ensuring that deadlines are met by vendors and extramural journal editorial staff; and file preparation for printer and online distributors. The ME, Journals, provides troubleshooting support for journal editors consistently, both during issue production and more generally as questions arise. This support is key to maintaining relationships with long-term journal clients. The position also requires significant design skills (Adobe InDesign, Photoshop) as the ME, Journals, devises custom cover designs for journal issues and prepares issue artwork.
Job Description
Responsibilities:
Typesetting & proofhandling: Prepare edited manuscripts for typesetter; draft typesetter instructions; deliver files to typesetter; oversee proof handling with journal editorial offices; troubleshoot typesetting issue and provide in-house review of all stages of proofs. Serve as project manager and Press liaison with journal editorial offices and vendors throughout the typesetting process.
Manufacturing & distribution: Prepare and deliver journal issues to printer and online distributors. Review and sign off on virtual proofs. Serve as project manager and Press liaison with journal editorial offices, electronic distributors, and printers throughout.
Art preparation & cover design: Identifying and resolving formatting, artwork, and copyright issues in coordination with journal editorial offices and Penn Press rights & permissions administrator. Devises custom cover design in tandem with journal editors.
Copyediting: Assigning projects to freelance editors, communicating copyediting and scheduling requirements and house policies and procedures; negotiating fees. Serve as project manager and Press liaison with journal editorial offices and copyeditors throughout the editing process.
Scheduling: Making and maintaining schedules and deadlines for copyediting, typesetting, and manufacturing, recording activities in the Press's database system.
Freelancer training & recruitment: Recruiting, training, mentoring, monitoring, and reviewing performance of freelance copyeditors. Train journal editorial offices in Press publication policies and procedural standards, especially around manuscript submission and proofreading best practices.
Communications and metadata management: Collect administrative materials from journal editorial offices, including mailing lists, author agreements, and metadata.
Invoicing: Review and approve invoices from copyeditors, typesetters, and printer.
Press-wide working groups: Participate in Press-wide working groups, e.g. the title management working group and the website implementation working group.
Handle special requests re: online publication, including pre-publishing and “open access” articles on MUSE, revising issue files post-publication.
Qualifications: Bachelor's Degree required with one to two years of experience in production management in book or journal publishing or equivalent combination of education and experience. Experience in both Macintosh and PC environments with knowledge of Microsoft Word and Excel; Adobe Photoshop and InDesign strongly preferred. Knowledge of Biblio or other title management systems preferred. Must be able to communicate clearly, concisely, correctly, and tactfully with authors, editors, vendors, and colleagues. Familiarity with style conventions of academic publishing desirable, as is experience with onscreen editing, online submission and review systems, and knowledge of online content delivery processes and formatting.
