Job Role Summary

The Pediatric Rehab Program Coordinator is performs a variety of clerical and patient service duties necessary to maintain efficient flow of operations in the Rehabilitation Services department. This position routinely coordinates pediatric rehab scheduling, manages the pediatric multi-disciplinary rehab wait list, and assists patient families with care coordination in relation to their rehab needs. This position will serve as a liaison between the therapist team, patient / family, referring provider, and vendors / community partners to ensure needs are met in a timely manner. The Pediatric Rehab Coordinator proactively contributes to Eskenazi Health's mission: Advocate, Care, Teach and Serve with special emphasis on the vulnerable population of Marion County, and models Eskenazi Health values.

Essential Functions and Responsibilities

• Scheduling: Schedules new pediatric evaluations from referral workqueues and coordinates return appointment scheduling from pediatric wait list including multi-discipline sequential scheduling. Coordinates urgent referral scheduling and specialty patient care group scheduling in collaboration with therapists or management.
• Care Coordination: Assists patient families with specialty care referral scheduling within and outside of Eskenazi Health. Obtains indicated Releases of Information and acts as liaison between therapist team and external patient providers (teachers, school therapists, specialty equipment vendors, First Steps services) to coordinate care.
• Referral Management: Manages pediatric therapy referrals and updates referral authorization as indicated.
• Insurance Authorization: Verifies insurance, completes and submits insurance authorization forms and supporting documentation, receives and files faxed authorization verification, responds and promptly initiates appropriate workflow when therapists request authorization extension. Follows up on outstanding authorization requests, and communicates authorization denials with Rehab Quality Improvement Specialist and Manager.
• Professional Communication/Collaboration: Utilizes appropriate electronic and electronic medical record systems to document and communicate patient care coordination and scheduling with therapists and other providers. Communicates with vendors to facilitate patient appointments for specialty equipment and facilitate receipt of all necessary paperwork. Assists with adult patient vendor communication as directed by rehab manager.
• Front Desk Registration Support: Provides registration support by updating insurance verification on the hospital account when indicated, assists with clinic registration and scheduling front desk duties as needed, and completes other job duties as assigned by Management pediatric therapist team leader.
• Phone Management: Answers phone calls consistently and in a timely manner to reduce call abandonment; uses standard language when managing phone calls per department scorecard; demonstrates good etiquette and pleasant tone with phone conversations; minimizes hold time and avoids long silences without talking to the caller; accepts and implements needed improvement based on feedback from phone audits. Assists with targeted reminder calls to minimize no shows and improve access.
• Performance Improvement: Identifies ways to improve work processes and improve customer satisfaction
• Time & Priority Management: Minimizes time away from work and prioritizes multiple tasks to maximize time spent performing job duties; reports to work on time and on a consistent basis; is not in disciplinary process per the hospital attendance policy guidelines; follows appropriate procedures for scheduled time off requests and proactively communicates time off with other team members; completes all assigned tasks and/or special projects on time without reminders

Job Requirements

• High school diploma or equivalent (GED); Associate's degree preferred.
• At least one year of experience in a healthcare setting preferred.
• Spanish and English proficiency preferred.
