Coordinator, Public Interest and Externship Programs

Occupational Summary
The Program Coordinator works closely with the Assistant Dean of Public Interest and Pro Bono, the Director of Externships, the Director of Pro Bono, and the Director of Public Interest Careers to facilitate programming that serves students engaged in public interest, pro bono, and externships and promotes these as part of the mission of the broader law school community. The position performs a variety of student services duties, develops resources for student and alumni/ae activities, and administers programs designed to promote professional development for students engaged in public interest and pro bono work as well as students enrolled in externships (collectively, the "Programs").

The position manages the department's accounts payable, procurement card purchases, deposits, and travel reimbursement. The position also reconciles the monthly financial statement, prepares the semester variance reports, and prepares the department's annual operating budget.

The position requires the knowledge and skills to resolve complex, non-routine, administrative problems independently and with others.

Work Schedule
Regular, full-time 40-hours per week/12 months per year position with benefits.

Work Performed
Design and Implement Programs

  • Assist in the design, development, and implementation of various activities in the public interest and pro bono office and externship program, including the annual Public Interest Retreat and the Public Interest Public Service Certificate (PIPS) graduation, as well as all facets of the externship program (Duke in D.C., Faculty-Mentored Externships, and Individual (local) externships); recommend changes in policies and procedures to improve the Programs.
  • Support outreach relating to the Programs, including 1) seeking out new externship placements with host organizations and potential pro bono project sponsor sites and 2) outreach to students seeking pro bono, public interest, and externship opportunities; this includes finding opportunities for LL.M and LL.M-LE (Entrepreneurship) students as well as J.D. students.
  • Represent the Programs at various pro bono / public interest and externship events on and off campus, with an emphasis on local non-profit and government partners.
  • Assist and collaborate with other staff members in such offices as Academic Affairs, Alumni & Development, Career Services, Finance & Administration, and Student Affairs, having special project responsibilities for the coordination of the Programs' activities.
  • Facilitate the Programs' online and social media presences. Create and/or maintain related social media accounts including LinkedIn, Instagram, and Facebook following established procedures and precedents. Investigate/recommend other social media platforms.
  • Facilitate the Programs' effective and efficient use of technological tools to enhance access to information (both the administrators' and students'), to advance programmatic and pedagogical goals.
  • Serve as primary staff member to track service by students in pro bono programs, including reports covering Duke and independent pro bono projects, clinical hours, and externships. Collect, share, and report service hours and projects for internal and external purposes, including to the admissions office and to the ABA.

Work with the Public Interest and Pro Bono Program

  • Participate with other staff in all aspects of planning and executing programs and events, including Duke Law attendance at the Equal Justice Works Conference and Career Fair and the annual Government and Public Interest Alumni/Student Reception, the Public Interest Retreat, the Public Interest Public Service Certificate (PIPS) graduation and semester receptions. The position may serve as the primary event coordinator for some of these programs.
  • Assist with program communications on the website and other forms of electronic communications, including a weekly newsletter. Make recommendations, initiate added information, and suggest additional methods of communicating to current and prospective students and other audiences. Coordinate with the Communications Office on outreach and marketing.
  • Assist in educating students about pro bono requirements for bar admission and in facilitating student achievement of these requirements.
  • Provide support and guidance to pro bono student organizations at the law school; help coordinate such organizations' relationships within the broader Duke and Durham communities.
  • Help oversee and manage several financial programs, the most significant one being the Summer Fellowship Program. Others may include the interview support program, post-graduate fellowship and the public interest conference fund.
  • Assist with management, tracking, admission, events and requirements for the Certificate in Public Interest and Public Service Program (PIPS).
  • Serve as the general office manager for the Public Interest and Pro Bono Program.
  • Monitor budget spending and maintain a budget report showing expenditures and balances on a function-by-function basis. Reconcile financial statements. Prepare expense reimbursement forms.
  • Assist as needed with monitoring requirements for the Bridge to Practice Fellowship program; this may include collecting documents from students, graduates, and hosts.

Work with the Externships Program

  • Coordinate admissions to the externship program, including ensuring completeness of all required registration and student practice forms. Correspond with students seeking information about the externship program, following established procedures and precedents.
  • Coordinate outreach efforts among the greater student body, including affinity groups and student clubs, to create a targeted outreach strategy. This could involve creating visual aids for information and orientation sessions.
  • Create a system / database / website of externship opportunity postings where students can independently locate prospective placements; maintain this system on an ongoing basis.
  • Manage the documentation for the Externships program in accordance with ABA regulations and best practices, including maintaining a filing system for required forms, checking student timecards, and helping to develop written materials in coordination with the Externship Director.
  • Create a system for documentation to aid in efficient program management, as well as coordination with colleagues in the Career and Professional Development Center, clerkship placement office, and Public Interest and Pro Bono Program.
  • Assist in the efficient and effective administration of the externships program, by maintaining syllabi, creating, and maintaining the class website, facilitating student advising, and collecting and organizing student assignments and forms.
  • Coordinate the Externship Director's advising and quality control for externship students and placements. This includes arranging travel for site visits locally and for the Duke in D.C. program and participating in planning an annual site supervisors' CLE training.
  • Assist in enhancing the externship program by performing outreach to current and prospective host organizations. This includes representing the externship program where possible when creating / implementing programming for the Public Interest and Pro Bono programs, including when performing student-facing and community-facing outreach.

Perform other related duties incidental to the work described herein.

Minimum Qualifications

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Work requires one year of experience in program administration or involving academic, instructional, or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Active involvement in student activities, co-curricular programs, or other relevant programs while enrolled as a student is also desirable.
