Project Coordinator, Kohler Services

Responsible for managing the end-to-end customer experience of the Kohler Services business in Houston, Texas. The Project Coordinator proactively communicates with consumers regarding expectations of varying phases of interactions throughout the project management process. Responsibilities include overseeing details of project plan to proactively maintain production schedules, submit and maintain building permits, and create and implement essential procedures, both defined and undefined. Maintains positive relationships between vendors, subcontractors and customers and oversees the accounts payable and receivables for all vendors and consumer payments. Secondary, responsible for assisting and obtaining contracted clients, both secured and unsecured financing commitments, that meet both the company's and the clients best interest allowing fulfillment of the contracted work specifications as sold. Third, the Project Coordinator will ensure that office, building, furnishings and those connected/employed reflect the Kohler image and brand while in the office area.

Specific Responsibilities

Project Coordination:

  • Manages customer experience life cycle of the Direct Response business by communicating directly with consumers regarding expectations of varying phases of interactions throughout the project management process.
    • Confirms design consultant, installation process and ensuring consumer satisfaction throughout each phase.
    • Receives incoming calls pertaining to projects and independently determines proper course of action based on issue.
    • Reviews RTP (released to production) projects in customer file in CRM to determine all required documents are available and forward to Production Manager.
    • Determines during RTP review if permit required. If needed, prepare permit application and forward to Production Manager for review and completion of drawings or other needed documents prior to submittal for permit.
    • Monitors permit application progress and notify Production Manager when ready or delays requiring additional document submittals.
  • Places outgoing calls as needed to ensure timely progression of projects.
  • Schedules inspections as directed by Production Manager.
  • Maintains a positive relationship between vendors, subcontractors and customers and KHS.
  • Communicates timely via CRM and verbal contact all major changes to projects both pre and post-construction.
  • Efficiently and accurately updates information in all established systems both manual and electronic.
  • Assigns, schedules and monitors, with Production Managers input, service completions and update in CRM upon completion.
  • Manage the accounts payable and receivables of all vendors by overseeing the cashflow and consumer payments.
  • Identifies and communicates issues throughout project management process. Drives corrective action and recommends process improvements.
  • Complete all assigned task daily in CRM.


  • Daily and timely review of all declined loan applications. If decline is questionable (determined by various criteria relevant to a loan application) request a "second look" by our preferred lender. If not questionable, submit to the "sub-prime" lender of choice to seek approval. Review all approved finance terms that result in a reduction of the amount to be funded to the Company with General Manager and receive a signature acknowledging his/her approval to accept.
  • Ensure clear and accurate communication with all clients regarding loan terms/rates, especially those that are funding from a "sub-prime" lender. This applies only to those clients that request or require direct communication with this position.
  • Timely updating of approvals, declines or required stipulations for approval into CRM. Communicate via CRM as a task to both the General and Sales Managers required documents or information to receive approvals for loan commitment. Include deadline for task completion.
  • Quickly inform relevant Department Manager of complaints or issues communicated by clients for prompt contact or resolution. Always do so via CRM and copy General Manager.

Office Management:

  • Manages day to day general office duties including but not limited to:
    • Inventory control of office supplies and replacement of same.
    • Creates and submits work order for routine maintenance of damaged or non-functioning items in building; i.e. burn out lighting, damaged leaking plumbing fixtures or other such items restricting the use of the facility.
    • Maintains a clean and professional office environment to allow team members to fulfill their roles and responsibilities.
  • Ensures that all visitors register at reception desk and follow defined protocols for visitors.


  • Bachelor's Degree required with a minimum of 5 years of experience in project management or customer service related fields. Consumer Finance Account Management or related field is a plus. Experience in the Building Products or Home Improvement Industry is preferred.
  • Ability to work independently with limited supervision is required.
  • Experience in driving intra-departmental partnerships, including internal and/or external relationships is highly desired.
