The Request for Proposal (RFP) Specialist is the communication strategist, writer, editor and project manager for RFPs, RFIs, and proposals. Expertise with business proposals, project management skills, or equivalent knowledge is essential. Managing a standardized process for submitting RFPs, RFIs, and proposals, ensuring best practices, and seeking continual improvement of RFPs, RFIs, and proposals is a primary function of this position.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited, to the following:

  • Create optimal proposal communication strategy, corresponding messaging, and graphic approach for RFPs, RFIs, and proposals
  • Write proposals that persuade prospective clients to want to work with MMA to develop strategies and address their unique needs
  • Manage the maintenance of the proposal database software
  • Serve as the proposal expert at the regional level, collaborating with your counterparts at the national level to ensure best practices
  • Collaborate with MMA's proposal team on identifying new content, strategy and formatting opportunities
  • Produce RFPs, RFIs, and proposals consistent with MMA's branding, generating charts and graphs, creating PDFs, and embedding and linking multiple files into a single document
  • Manage the on-time delivery of new business and renewal proposals from start to finish
  • Track all proposals that fall under the Consolidated Appropriations Act (CAA) of 2021 for compliance and audit purposes
  • Proactively participate in developing new content for use in proposals
  • Maintain a standardized process for submitting proposals
  • Implement best practices to maximize new business and business retention opportunities
  • Contribute as a peer editor and copywriter for the regional RFP database

REQUIRED EDUCATION AND EXPERIENCE
  • Bachelor's Degree in English, Communications or other related areas is strongly preferred
  • Previous RFP, RFI, and proposal development experience (2 to 4 years preferred), with critical analytical skills and strong project management skills
  • Previous experience with RFP database software (e.g., RocketDocs, Loopio) and CRM tools is strongly preferred
  • At least two (2) years of experience in a professional office setting with responsibility in administrative and sales support functions
  • Association of Proposal Management Professionals (APMP) certification preferred, but not required
  • Experience working within a large sales team
WORK LOCATION
  • Typically performed in a hybrid manner through a combination of remote work and office (MMA East in Conshohocken, PA)
