Summary of Job Duties and Responsibilities:

Provide day-to-day support for the Occupational Therapy Program which can include the following duties.

  • Room reservations
  • Prepare documents for faculty members (travel for University requirements)
  • Filing, organizing, and office duties that are assigned
  • Assist with coordinating travel arrangements
  • Purchasing program and office supplies
  • Arranging meetings
  • Providing comprehensive support to the OT Fieldwork Coordinator by assisting with fieldwork needs including managing contracts, facility agreements, and collecting data for students
  • Preparing documents for student and faculty use
  • Communicating with clientele (both internal and external)
  • Providing comprehensive support to the OT program director by tracking data for the program and accreditation standards
  • Planning and arranging special events such as the OT Pinning & Hooding Ceremony and OT Research Conference
  • Coordinating various recruiting events
  • Tracking, analyzing & creating data reports/presentations for administration and to meet accreditation standards
  • Notarizing documents
  • Onboarding program adjuncts
  • Providing support and collaboration to other departments for employee onboarding in the Paducah area
  • Coordinating and supervising OT Student Ambassadors during events
  • Initiating and compiling professional development units for faculty and clientele
  • Other duties as assigned
Minimum Education Requirements:

High School diploma

Minimum Experience and Skill Requirements:

  • Two years of administrative experience in a university, business or government office
  • Additional college education and related experience may be exchanged year-for-year to meet qualifications
  • Alertness, memory for verbal or written directions and details, and ability to plan and make decisions
  • Excellent communication and interpersonal skills, supervisory, multi-tasking, and organizational skills required
  • Must have a pleasant, proactive personality and ability to handle demanding situations
  • Must be able to quickly adapt to address changing circumstances and personalities
Preferred Education and/or Experience Qualifications:

At least two years of college credit
