Administrative Associate III

What You'll Do

  • This position provides direct administrative support to the Marketing & Communications leadership team and department team members, and reports to the Operations, Projects & Events Administrative Manager.
  • Make travel arrangements and reservations.
  • Facilitate timely reimbursements for business-related expenses.
  • Set-up and support meetings; keep minutes as necessary.
  • Greet external visitors.
  • Order catering for meetings.
  • Make conference room reservations.
  • Coordinate office moves for new and current team members.
  • Manage office supplies, assist with branded merchandise orders, and facilitate recognition program orders.
  • Provide support to operational activities, day-to-day needs, and special events as an integral part of the team.
  • File and retrieve records, folders, and other materials. Assist in organizing materials and backups.
  • Calendar scheduling for Marketing & Communications leadership, as needed.
  • Interact appropriately with Marketing & Communications staff and others throughout the company to maintain a positive, productive, inclusive, and collaborative work environment.
  • Establish and maintain effective working relationships with people at all levels, from support staff to executives, and be willing to contribute whenever needed in a collaborative manner.
  • Work with sensitive and highly confidential information and maintain proper confidentiality.
  • Represent organizational unit in understanding and working with administrative policies and procedures.
  • Maintain a regular and predictable work schedule.
  • Perform other duties as necessary.
On-Site Work Environment: This position requires regular in-person engagement by working on-site five days each normally scheduled week in the primary work location. Travel and local commute between company campuses and other possible non-company locations may be required.

Working Conditions
  • Work is performed in an office environment.
Required Education, Experience, & Skills
  • High School diploma or equivalent plus 4 or more years of related experience.
  • Each higher-level related degree, i.e., Bachelor's or Master's, may substitute for two years of related experience. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.
  • Must have advanced computer knowledge (Microsoft Office Applications) and higher-level administrative skills.
  • Ability to work with considerable independence and as part of the team.
  • Must have ability to work under pressure and handle multiple assignments concurrently.
  • Demonstrated decision making based on knowledge of organization policies and procedures.
  • Maintaining confidentiality concerning sensitive information is required.
Pay Information

Hourly Range: $21.63/hr - $28.85/hr

Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
