A DAY IN THE LIFE

Enthalpy Analytical, is part of the larger organization, Montrose Environmental Group, is comprised of over 9 laboratories servicing air, water, soil, and toxicology testing. Regulations drive the need for our services, but our unique capabilities allow us to add value to clients beyond environmental compliance.

NOTE: This position is a part-time Administrative Assistant position.

The Administrative Assistant provides administrative support to the entire lab. This Admin interacts with a diverse group of important clients, visitors, as well as internal stakeholders at all levels of the organization. This position is responsible for operating independently in a fast-paced environment while working with all levels of employees/management within the Company and outside of the Company and managing multiple responsibilities.

As a key member of the Wilmington lab, this role will be responsible for a full range of activities including:
  • Perform daily office tasks such as filing, maintaining records, copying and scanning
  • Utilize and maintain on-site filing systems
  • Update and maintain Sample Manager
  • Assist with receiving within our Workday system
  • Tracking supplies from ordering to receiptAssist with Courier schedules
  • Provide support to Project Manager with invoicing and POs
  • Create and maintain spreadsheets
  • Provide support with new client paperwork
  • Contacting vendors and contractors for assistance and answering vendor questions as needed
  • Recording and sending meeting notes as needed (definitely some every week)
  • As necessary, coordinating schedules to set meeting times
  • Contact landlord as needed
  • Assisting with ordering suppliesMaintain neat and clean office environment
  • Monitor office supplies, placing orders when necessary
  • Protect confidentiality of all sensitive information or situations
  • Answer phones and connect caller to appropriate lab contact. Provide backup to Durham lab
  • Greet customers, answer or refer inquiries within the lab
  • Route correspondence and mail
  • Scan and save packing slips for items and materials received in lab
  • Keep printing equipment operational by following manufacturer instructions and established procedures
  • Maintain customer confidence and protect operations by keeping information confidential
  • Contribute to team effort by accomplishing related results as needed
  • Other duties as assigned
YOUR EXPERTISE & SKILLS
To perform this job successfully, individuals must be able to perform each duty and responsibility satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • High school diploma or general education degree (GED) required, associate's preferred
  • Minimum of 2 years administrative and/or office related experience preferred
  • Must be able to operate standard office equipment (i.e. copier, scanner, fax machine, switchboard)
Preferred Qualifications/Skills
  • Proficient with MS Office Products: Word, Excel, Google, and Outlook. Knowledge of MS Publisher, PowerPoint, PDF Software Package a plus
  • Must be detail oriented, resourceful, creative and flexible
  • Possess effective communication skills
  • Ability to adapt to changing needs while responding quickly and positively
