JOB DESCRIPTION

  • Greet and welcome guests as soon as they arrive at the site.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, front gate).
  • Ensure the front desk is neat, presentable, and equipped with all the necessary supplies such as pens, forms, and paper.
  • Direct visitors to the appropriate person and office.
  • Provide basic and accurate information in person and via phone/email.
  • Answer all client questions and incoming calls; redirect phone calls to the appropriate department and take down messages.
  • Accept all letters and packages and distribute them to their appropriate departments.
  • Maintain employee and department directories as a guide for directing visitors.
  • Maintains the Training Room calendars by reserving dates and times. Advises booking Conference Room calendars through Outlook and assists as needed in bookings.
  • Provides general information regarding routine inquiries from customers, and refers non-routine, sensitive, and/or complex requests for information and other inquiries or complaints to PLACE TITLE HERE.
  • Committed to the Company's safety and quality programs.
Requirements:
  • High School diploma: additional qualifications will be a plus.
  • 2+ years office experience.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • A self-starter capable of multi-tasking and prioritizing.
  • Strong knowledge of MS Office, including Outlook, Word, PowerPoint, and Excel.
  • Ability to take initiative in completing assigned work and projects.
  • Proven calendar management skills with experience scheduling meetings and appointments.
  • Enthusiastic and personable.
  • Professional attitude and appearance.
  • Strong communication and people skills.
  • Excellent organizational and multi-tasking abilities.
  • Ability to be resourceful and proactive when issues arise.
  • Exceptional telephone etiquette.
